Foundation Manager

Position Available
Title: Foundation Manager
Compensation: Commensurate with experience.
Hours: 40

DUTIES AND RESPONSIBILITIES

Events

  • Organizer and primary person responsible for overseeing 3 major events a year
  • Manage volunteer committees and committee meetings related to events
  • Publicize foundation and relevant library events
  • Manage ticket sales and silent auction processes
  • Provide support to board, volunteers and staff for fundraising, recognition and cultivation events
  • Act as liaison to library staff in planning and execution of events
  • Oversee Wisconsin Book Fest Intern as they plan the sponsorship luncheon
  • Plan the annual holiday party

Board assistance

  • Prepare regular communications for board
  • Prepare materials for board and committee meetings including annual calendar and meeting locations
  • Act as foundation liaison to board and board sub-committees
  • Manage board and committee rosters and other information
  • Take minutes at board and committee meetings as needed
  • Manage board governance documents such as bylaws, policies, strategic plan, and other information
  • Coordinate new board member orientation and orientation materials

Communications

  • Write and edit copy for all external communications with outside PR contractor
  • Develop and execute annual communications plan with outside PR contractor
  • Manage day-to-day operations of Communications Intern
  • Develop, maintain and update Foundation and Campaign Websites as needed
  • Use social media (Twitter, Facebook) to disseminate foundation news/updates
  • Assist in preparing e-news and other electronic communications
  • Coordinate production of Annual Report with outside PR contractor
  • Organize foundation photo and media files
  • Work with vendors and designers to produce communications and promotional materials
  • Ensure adherence to brand standards in all materials
  • Cultivate and grow email communications list, especially as related to events

Development

  • Develop positive personal relationships with donors
  • Prepare grant, major gift and sponsorship proposals, and other correspondence as needed
  • Create opportunities to acquire prospective donors and expand database
  • Assist Executive Director in preparation for public presentations
  • Manage the donor thank recognition and planned giving events

Office administration

  • Provide reception service including greeting public and refer them to appropriate staff members, answer phone, route calls, and take messages
  • Manage intern program

Other duties as assigned.

QUALIFICATIONS

  • Bachelors’ degree, or equivalent
  • Excellent written and oral communication skills
  • Commitment to library or fundraising field
  • Proficiency with Microsoft Office software, social media and content management systems
  • High degree of discretion dealing with confidential information
  • Proven capability to meet deadlines with little supervision
